Questions worth asking any clearance firm

Ask whether the company holds a waste carrier registration and whether it will give you the waste transfer notes afterwards. That paperwork matters to executors, because responsibility for the estate's waste does not end when the van drives away. Ask what happens to items that might have value, whether anything is offset against the price, and how that offset is evidenced. Ask who actually attends: some firms subcontract, and the crew on the day may not be the people you spoke to.

Insurance is the other question people forget. Goods in transit cover, public liability cover and employers' liability cover are all relevant when strangers are carrying furniture down a communal staircase. A firm that answers those questions plainly, without deflecting, is usually a firm that has been asked them before. If a quotation arrives with no breakdown, no access assumptions and no mention of what is excluded, ask for one that has them.

Probate clearances need a paper trail

A probate or bereavement clearance is not the same job as an end-of-tenancy clean-out, even when the van and the crew look identical. The executor or administrator is accountable for the contents of the estate, which means documents, jewellery, cash, share certificates, war medals and photographs all need finding and separating before anything is loaded. A firm that understands probate will search systematically — drawers, pockets, mattresses, lofts, the backs of wardrobes and the insides of books — and hand you what it finds rather than deciding for you what matters.

Anything that might carry value should be itemised so the estate can consider it, and nothing should go to disposal without the executor's approval. Where contents need a formal figure for the estate account, that is a valuation job and belongs with a valuer rather than a clearance crew, though many firms will work alongside one. Keeping the two roles separate protects the executor if the account is ever queried.

Timing, access and what drives the price

Volume is only part of what a clearance costs. Access usually matters more: a ground-floor flat with a van space outside is a different job from a third-floor conversion with no lift, a shared entrance and a controlled parking zone that needs a permit or bay suspension arranged days in advance. Stairs, narrow doorways, restricted loading hours, red routes and estate access rules all change the crew size and the number of trips, and any of them can double the hours a property takes.

Disposal costs are the other half of the arithmetic. Licensed disposal is charged by weight and by material, and some items — fridges, mattresses, paint, tyres, electricals — carry their own handling rules. Items suitable for reuse or donation reduce that cost, which is why firms with charity and reuse partnerships often quote more competitively. Ask for the assumptions behind the quotation so you can see which of these applies to the property you are dealing with.
