How to instruct us

  1. Send the instruction. Call or email us with the property address, access arrangements, your matter reference, and who on your side signs off.
  2. Site assessment. We attend, usually within a few working days, and can collect keys from your office or an agent. No charge, no obligation.
  3. Written quotation. Itemised by scope — clearance, specialist disposal, cleaning, garden or garage — so lines can be removed if the estate wants to trim cost. Validity: Confirmed in writing with each quotation.
  4. Confirmation and scheduling. A binding job starts only when you confirm the quotation in writing. We then book the date and confirm it back.
  5. Completion pack. Documentation delivered as a single pack after the job, ready to file with the estate papers.

We take instructions from one named contact — you, or a person you nominate — which keeps a divided family from redirecting the job mid-clearance.

Invoicing the estate directly

We invoice the estate, the firm, or the executor personally — whichever the retainer requires. Invoices carry the deceased's name, the property address and your matter reference so they reconcile straight into the estate ledger.

Where the estate is illiquid before the grant, tell us at instruction and we will say plainly what deferral we can and cannot accommodate — we will not imply terms we have not agreed.

Documentation supplied for estate accounts

Everything an executor needs to evidence what happened to estate property:

  • Written itemised quotation and final VAT invoice.
  • Contents inventory produced before clearance where instructed.
  • Dated photographic record of the property before and after.
  • Schedule of items retained, returned to family, donated or sent for sale, with dates and destinations.
  • Waste transfer notes for every load, naming the licensed transfer station or recycling facility.
  • Confirmation of secure disposal for any personal data or medical items.

Retention of these records is set out in our privacy policy. Copies can be reissued on request within the retention period.

Chain of custody for items of value

Where an item may carry value — jewellery, coins, medals, watches, art, documents, cash found on site — the chain is recorded rather than assumed:

  1. Item found, photographed in situ, logged with room, date and finder.
  2. Bagged, sealed and labelled with the same log reference.
  3. Held separately from the clearance load, never mixed with removals.
  4. Handed to the named instructing contact or the executor against a signed receipt, or held pending your instruction.

We do not value items and we do not buy from an estate we are clearing — that conflict of interest is exactly why we refuse it. Where an item looks like it warrants a professional valuation, we say so and stop.

Turnaround times

Indicative only, and confirmed in the quotation once we have seen the property. They are not guarantees:

  • Acknowledgement of an instruction: same working day where received before 4pm.
  • Site assessment: typically within 2–5 working days.
  • Written quotation: typically within 1 working day of the assessment.
  • Clearance of a standard two-bedroom property: usually one working day on site; larger or hoarded properties run to several days.
  • Completion pack including waste transfer notes: typically within 5 working days.

Where you are working to a completion date, an auction date or a tenancy end, say so at instruction and we will tell you honestly whether it is achievable.
