We are the data controller for the personal information you provide through this website, by telephone, by email, by message, or in person at a property.
What we collect
- Contact details — your name, telephone number, email address and the postcode or full address of the property concerned.
- Enquiry content — whatever you choose to tell us about the property, the estate and the work required, including any photographs or video you send us.
- Job records — quotations, invoices and payment records, waste transfer notes, inventories, item photographs and site notes made while the work is carried out.
- Technical data — IP address, browser type and device, and basic analytics such as which pages were viewed and where a visit came from.
We do not knowingly collect special-category data. Where an enquiry necessarily references a bereavement, a death certificate, or the health or vulnerability of an occupant, that information is treated as strictly confidential, is seen only by the people who need it to respond, and is used only to answer your enquiry and carry out any work you instruct.
How we use it
- Responding to your enquiry, arranging an assessment and issuing a quotation.
- Planning, delivering, documenting and invoicing work you instruct us to carry out.
- Meeting our legal duties — waste carrier and duty-of-care records, tax and accounting obligations, and health and safety requirements.
- Maintaining and improving this website, including understanding which pages are useful.
We rely on the following lawful bases:
- Consent — when you send us an initial enquiry by email or by telephone.
- Performance of a contract — when you accept a quotation and we deliver the work.
- Legal obligation — waste transfer records and accounting records.
- Legitimate interests — running, securing and improving the business and this website, balanced against your rights.
Retention
- Enquiries that do not become jobs are deleted within 12 months of the last contact.
- Job records, invoices and waste transfer notes are kept for a minimum of two years, and up to six years where needed for tax and duty-of-care compliance.
Records are deleted or securely destroyed once the retention period ends, unless we are required to keep them for longer.
Your rights
Under UK data protection law you have the right to access the information we hold about you, to have it corrected, to have it erased, to receive it in a portable format, to restrict how we use it, and to object to processing based on our legitimate interests.
To exercise any of these rights, email info@houseandofficeclearance.co.uk or write to us at 430 Hackney Rd, London E2 6QL, United Kingdom. We will respond within one month.
If you are unhappy with our response you can complain to the Information Commissioner's Office at ico.org.uk.
